USA Youth Education in Shooting Sports (USAYESS) operates the membership management system at memberships.usayess.org. This policy explains how we collect, use, and protect personal information submitted during membership registration and renewal.

2. Information We Collect

• Identity data: name, date of birth, gender, grade level
• Contact data: email address, phone number, physical and mailing addresses
• Membership data: team, division, membership number, season year, status
• Payment data: Stripe processes payments; we store only the order amount and status — never raw card numbers
• Guardian data: name and contact information for members under 18
• Usage data: IP address, session data, and audit logs for security

3. Children Under 13 (COPPA)

We comply with the Children's Online Privacy Protection Act (COPPA). When registering an athlete under 13 years of age, we require verifiable parental consent before collecting any personal information. Parents and guardians may:

• Review the personal information we hold about their child
• Request corrections to inaccurate information
• Request deletion of their child's account and associated data

4. How We Use Your Information

• To register and manage USAYESS memberships

5. Sharing of Information

We do not sell personal information. We share data only with:

• Stripe — payment processing (see Stripe's Privacy Policy)
• SportsEngine — team and event data synchronization
• USAYESS coaches — may receive team registration alerts if they opt in through the coach portal
• Law enforcement — when required by applicable law

6. Data Retention

We retain membership records for 7 years after expiry for legal and audit purposes, after which records are anonymized. Payment records are retained for 7 years per financial regulations. You may request early deletion by contacting us (subject to legal retention requirements).

7. Your Rights

• Access: request a copy of the data we hold about you
• Correction: request corrections through the member portal or by email
• Deletion: request account deletion (subject to retention obligations)
• Opt-out: unsubscribe from marketing emails at any time using the link in any email

8. Security

We use industry-standard security measures including encrypted connections (HTTPS), hashed passwords, and access controls. Payment data is handled exclusively by Stripe and never stored on our servers.
